Venue Rental Terms & Conditions
Studio Allegory Intimacy Research Ltd.
These Terms & Conditions apply to all rentals of Studio Allegory Intimacy Research Ltd., located at:
386 Powell Street
Vancouver, BC V6A 1G4
Canada
By booking or using the space, the renter agrees to the following terms.
1. Booking and Use of Space
• The venue may only be used for the purpose agreed upon at the time of booking. Any change in event type or activity must be approved in advance by Studio Allegory.
• The renter agrees not to exceed the maximum occupancy limit of 50 persons, in accordance with safety regulations.
• The renter is responsible for ensuring that all guests and participants follow Studio Allegory policies during the rental period.
2. Rental Fees and Payment
• A non-refundable deposit is required to secure a booking.
• The remaining balance must be paid no later than 7 days before the event, unless otherwise agreed in writing.
• Studio Allegory reserves the right to cancel bookings where payment has not been received by the agreed deadline.
Additional charges may apply for:
• Overtime use of the space beyond the agreed rental period
• Cleaning, if the venue is not returned in its original condition
• Damage or repair costs resulting from the event
3. Cancellation Policy
Cancellation by the Renter
• Cancellations made more than 7 days before the event may receive a refund of payments made, minus the non-refundable deposit.
• Cancellations made within 2 days of the event are generally not refundable, unless the studio is able to rebook the space.
Cancellation by the Studio
Studio Allegory reserves the right to cancel a booking if necessary, including but not limited to:
• Safety concerns
• Violation of studio policies
• Unforeseen circumstances beyond reasonable control
If the Studio cancels a booking, the renter will receive a full refund of all payments made, including the deposit.
4. Liability and Insurance
The renter assumes full responsibility for their event and for the conduct of all attendees.
The renter agrees to indemnify and hold harmless Studio Allegory Intimacy Research Ltd., its staff, contractors, and affiliates from any claims, damages, injuries, or liabilities arising from the event.
Renters may be required to provide event liability insurance with coverage of at least $2,000,000, naming Studio Allegory Intimacy Research Ltd. as an additional insured party.
5. Rules and Conduct
Compliance with Laws
All renters must comply with British Columbia laws, municipal bylaws, and fire safety regulations.
Behaviour
The following are not permitted:
• Illegal activities
• Disorderly or unsafe behaviour
• Activities that pose a risk to participants, staff, or the venue
Studio Allegory reserves the right to terminate an event if safety policies are violated.
Alcohol
• Alcohol is not permitted on the premises unless explicitly approved in writing.
Smoking
• Smoking and vaping are not allowed inside the venue.
• Smoking may only occur in designated outdoor areas.
6. Damage and Cleaning
• The renter is responsible for any damage caused to the venue, equipment, or furnishings during their rental period.
• The venue must be returned in substantially the same condition as it was at the start of the rental period.
• Additional cleaning or repair fees may be charged if necessary.
7. Force Majeure
Studio Allegory shall not be held liable for cancellation or interruption of services due to circumstances beyond reasonable control, including but not limited to:
• Natural disasters
• Government orders
• Public health emergencies
• Utility failures
• Other unforeseen events
8. Governing Law
These Terms & Conditions are governed by the laws of the Province of British Columbia and applicable Canadian law.
9. Amendments
Studio Allegory reserves the right to update or modify these Terms & Conditions at any time. The most current version will always be available on the Studio Allegory website.
